LEAVE – SABBATHIC LEAVE/SPECIAL LEAVE

For each period of seven (7) years of service at the University, the teaching staff member may request the granting of a paid period of six (6) months to dedicate themselves, in the country or abroad, to research, studies or activities linked to their role at the University, stating, for this purpose, the time of service provided to Unicamp since their admission.

Before submitting the documentation to the department, the faculty member must request, via email to the FE HR department (copying the Support Section for their information), the necessary steps regarding the accounting of the time balance for Sabbatical Leave purposes with the DGRH/DAP, since this accounting considers the admission period, deducts unpaid leave, doctorate/post-doctorate studies (CONSU-A-14/2015 Resolution), and personal leave, and is managed by the DGRH/DAP.

After the accounting is completed at DGRH/DAP, the request and other documents must be sent to the Departmental Support Section within 60 days before the start of the leave.

Within ninety (90) days of the end of the license, it is mandatory to submit the complete report of the research, study or activity carried out . Failure to submit the report within the indicated period will result in the automatic loss of the right to enjoy a new license.

PROCESSING:

  • Request for action regarding the accounting of the time balance to HR/FE, via email;
  • Submission of documents for deliberation at the department meeting 60 days prior to the start of the leave period;
  • The Support Section forwards the information to the Directorate for deliberation by the FE congregation;
  • The Management forwards this to HR/FE for submission to DGRH.

HOW TO APPLY:

60 days before the start of the leave, send the following documents to the Departmental Support Section via email at deptosfe@unicamp.br , with a copy to the Department Head :

– Letter of request addressed to the Head of the Department (indicating the period of absence and stating the place of absence);

– Work Plan with schedule of activities;

– Declaration of delivery of the Activity Report;

– Declaration of employment relationship;

– Sabbatical Leave Development Statement in Brazil;

If the license is developed ABROAD, also send:

– International leave request form;

– Request for International Travel Insurance for Teachers on Sabbatical Leave;

– Airline tickets;

LEAVE FOR POSTDOCTORAL STUDIES

Leave for post-doctoral reasons corresponds to the period in which the employee stops performing his/her duties within the University for 1 (one) year, to develop an academic-scientific program, after obtaining the title of Doctor.

The leave may be extended for a maximum of 1 (one) year, provided that the request is sent to the Support Section 03 (three) months in advance together with the Activity Report and the justification for the extension.

Within a maximum period of 30 (thirty) days after the end of the total leave period, the Professor must submit to the Department a detailed academic report of the activities carried out during the Post-Doctorate period, considering that the report must be approved by the FE Congregation within a maximum period of 60 (sixty) days after the end of the total leave period granted (Article 7 of Deliberation CONSU-A-14/2015 ).

PROCESSING:

The process must begin with 4 months in advance from the beginning of the leave.
Approval at the Department Meeting > Approval at the FE Congregation > Submission to the DGRH

HOW TO APPLY:

Please send the following documents to the Departmental Support Section via email at deptosfe@unicamp.br , with a copy to the Department Head :

– Request for leave, specifying the start and end period (day, month and year);

– Research and work plan, with development schedule;

– Letter of acceptance from the institution where the program will be developed;

– Power of attorney;

– Term of Confession of Responsibility and Assumption of Financial Burden – For international travel

 

SUBMISSION OF FINAL REPORT:

Within a maximum of 30 (thirty) days after the end of the total leave period, send to the Department Support Section, via email deptosfe@unicamp.br , with a copy to the Department Head, a detailed academic report of the activities developed during the Post-Doctoral period.

ABSENCES: NATIONAL AND INTERNATIONAL

National Removal:

The request for national leave must be made by the faculty member directly through the DGRH Online Employee Life System. There is no need for approval at a Department meeting; the request will be approved by the immediate supervisor via the system. At the end of the leave, the faculty member will be able to submit a final activity report.

PROCESSING:

Teacher requests leave in Vida Funcional On-line > Department Head reviews the request via the system

HOW TO APPLY:

– Visit the website: https://www.dgrh.unicamp.br/
– In the menu, click on Systems.
– In the “Unicamp Servers” column, click on “Online Functional Life”;
– After logging in, locate the “Forms” menu, go to the “Appointments” option and click on the option: Request Leave.
– Scroll down the page and find the “Register a new leave request” step
– Fill in the fields;

– In the field “Additional information about the absence” indicate how classes will be made up during the period;
– Add the invitation letter to participate in the event
– Finish by clicking on “Register”.

International Removal:

This is a leave of absence abroad to participate in committees, present papers at events, congresses, symposiums, discussion groups, etc. It must be requested 30 days in advance from the start of the trip and there is no need for approval at a Department meeting. The Professor may not travel before the insurance is in place and before the leave of absence is published in the Official Gazette. 

PROCESSING:

Request for approval from the Head of the Department > HR/FE via Google Form > DGRH

HOW TO APPLY:

1) Request to Head of Department

Before completing the Google Form, the Professor must request approval from the Department Head for the International Leave via email. The email requesting approval from the Head must contain :

– Invitation Letter from the institution. OFFICIAL document, stamped and issued by the institution;
– Period of absence;
– Declare how classes will be handled during the period of absence (whether or not there will be classes during the period of absence)

2) Request for Leave to HR/FE 

After returning with the approval of the Department Head, fill out the Google Form that will be sent to HR/FE:

In the form, in addition to the questions, there are fields for sending files:

REMINDER:

LEAVE FOR HEALTH REASONS (MEDICAL CERTIFICATE)

The employee or their representative must submit the medical or dental certificate, regardless of its duration, directly to the HR department of their Unit/Organ, within a maximum of 2 days from the start date of their absence, excluding the initial day of the certificate from the calculation of the deadline. For example, if the certificate begins on a Monday, it must be submitted by Wednesday. If the deadline falls on a Saturday, Sunday, holiday, or optional holiday, the certificate may be submitted until the next business day.

Holders may interrupt usufruct to attend meetings of the collegiate bodies to which they belong

Considering the terms of Resolution CONSU-A-11/2021 , published on April 8th, faculty, research, and technical-administrative staff, in their capacity as full members of collegiate bodies such as CONSU, CAD, CEPE, CCG, CCPG, and other collegiate bodies, such as the Congregations in the Units/Organs, are permitted to voluntarily suspend the enjoyment of vacation, sabbatical leave, or other leave of absence solely to participate in the meeting.

The interruption must be communicated in writing (on paper or by electronic message from the institutional address), at least 24 working hours before the date of the meeting, by the employee to the Human Resources Area of ​​his/her Unit/Body, who must send a copy of this communication for acknowledgment and measures to the Secretariat of the corresponding collegiate body. The procedure does not involve registration in the system by HR, nor does it affect amounts credited in the case of vacations, and it is up to adding the day of the meeting for compensation at the end of the period involved.

For other regular activities at Unicamp, administrative or academic, the guidance given by Opinion PG-1258/2019 remains.

PROCESSING:

Since January/2021, procedures have also been carried out electronically, through the SGP system (DGRH).

The collaborator must first send the documents to the Departmental Support Section via email: deptosfe@unicamp.br , for deliberation at a Departmental meeting.

After approval by the Department, the Support Section must send the employee an invitation to access the SGP system, which will be sent by email, to fill in the data and insert documents via upload.

Renewal or termination of activities: In the collaborating professor/researcher or visiting collaborating researcher program, the DGRH will send three emails (via the system) in advance to the registered professor to find out if they are interested in renewing. The professor must access the system, following the instructions in the email text, to begin the renewal process and submit the Final Activity Report for the period (mandatory) for both renewal and termination.

Resolution CONSU-A-015/2015, of 29/09/2015 – Provides for the mandatory presentation of Activity Reports by Higher Education teachers and other measures.

” Article 1: 

§ 1 – The professor in RDIDP or RTC who does not submit the Activity Report within 30 (thirty) days after the deadline stipulated in the caput, will have their work regime automatically reduced to RTC or RTP, respectively.

§ 2 – In the case foreseen in the previous paragraph, the professor will remain on the reduced work schedule until the presentation of their Activity Report to the Unit/Department to which they belong.

***There was a problem between SIGA and RAD for the year 2019, so DAC needs to enter the data manually, referring to the year 2019.

2. AGREEMENTS: check with the Extension department, if applicable, as the insertion is carried out by that area;

3. SAE SCHOLARSHIPS: check with the Research Area (Fabiana), because when it comes to scholarships with funding, she enters them in SIPEX. But first, please check how it is in RAD. **Undergraduate Research scholarships are entered by us, without funding or if we have the correct information on the scholarship amount, start and end period (in dd/mm/yyyy) and funding agency, otherwise we cannot enter them correctly;

4. Whenever data is entered or updated in SIPEX, it will only appear in the 'new' RAD after midnight, that is, the following day.

5. With each new entry or update, we kindly ask professors to download their RAD (Registration and Academic Data) from the PRDU website (link available on the FE website / Department Support Section and here: https://www.siarh.unicamp.br/passaporte/Login.jsp?sso.ticket=a962db9b0b915e66ec33014302d5b316 ) and verify that it is correct. We cannot verify the RADs ourselves, as we assist all professors with this and other requests.
